Bongo Virtual Classroom - Being Replaced by Panopto

Bongo's Virtual Classroom (VC) tool is being phased out of its primary use as the tool for recording learning sessions. Below sets out how to setup VCs to enable recording of sessions rather than live streaming.  Live streaming is available to students that have a reasonable adjustment, Student Life colleagues will make contact with course teams where this is needed.  

Setup Virtual Classroom for Recording only

  1. Access the active module
  2. Navigate to 'Virtual Classroom' tool via the 'Communications' menu item
  3. Click the '+' icon to create a new VC session
  4. Give the recording a title, select the date and time of the session
  5. Select a duration, it is always best to select longer than the actual timetabled session
  6. Tick 'Automatically record meeting'
  7. Leave 'Publish recorded meeting' ticked
  8. Leave 'Allow external participants' unticked unless you are inviting a guest lecturer
  9. Untick 'Invite entire class' - this will stop the session from being live streamed to the whole group.

Post Session - Make recording available

Once the session is over and the recording has completed processing, course teams will need to make the recording available in Brightspace.  The steps are:

  1. Access the active module
  2. Navigate to 'Virtual Classroom' tool via the 'Communications' menu item
  3. Find the recording in the 'Recorded meetings' list
  4. Click the 3 dots 'Actions' button and select 'Copy Public URL'
  5. Navigate to the content folder where you want to place the recording, ideally in the appropriate week/theme folder
  6. Click 'Upload/Create' button
  7. Select 'Create a Link'
  8. Add the session recording title
  9. Paste the copied URL into the 'URL' box and click 'Create'

The recording will be available in the folder you created the link.

Setup Virtual Classroom for Recording and Live Streaming to named learners with Reasonable Adjustments

Where a learner has a reasonable adjustment enabling them to access a live stream of a learning session, and additional step to the above guidance needs to be included after step 9:

  1. Click the 3 dots 'Actions' button and select 'Manage Invites'
  2. Search the list for the learner's name who needs access (select 'sync roster' if you cannot see all learners)
  3. Click 'Save'

Adding three steps after the initial 9 steps means the learner will be able to access the live session via the 'Virtual Classroom' link in the 'Communications' menu.  Once the session has finished you will need to follow Post Session steps to make the recording available to all module learners.
