Replacement Charges Policy Introduction

This page provides an overview of the circumstances under which patrons may be subject to replacement charges for items that are significantly overdue, lost, or damaged while on loan.

Replacement Fees

We impose a standard replacement fee for each item, as below. All relevant charges will be waived if lost items are returned, or a replacement copy in new or excellent condition is supplied. If you choose to supply a replacement copy, we will be unable to reimburse you if the lost item is subsequently found and returned. 

Please note that a block will be in place on your account until the replacement fee is paid or waived. This means that you will be unable to borrow, renew or reserve print library resources. 

Books £25.00 per item
DVDs £10.00 per item
Video Games £30.00 per item
Miscellaneous (e.g., Locker Keys, Headphones)  £20.00 per item

Replacement Charge Policies

"Long Overdue" Items

"Long overdue" items are those which have been overdue on your account for 4 weeks or more. 


Items overdue for 4 weeks or more will be assumed lost, and the replacement charges (as above) automatically added to your account.

This policy has been introduced to improve resource circulation, and ensure equitable access to print resources. 

You will receive email notifications at the point the item becomes overdue, and thereafter when it is 3 days, 1 week, 2 weeks, 3 weeks and 4 weeks overdue. Please be assured that all replacement charges will be automatically waived upon return of "long overdue" items. 

"Lost on Loan" Policy

This policy applies to patrons who have lost or cannot find an item currently on loan to them


If you notify us that you have lost an item currently on loan to you, we will immediately check the shelf for the item to confirm it has not been returned to us. 

If the item is found, it will be returned from your account. We will contact you to confirm this. 

If the item is not found:

  • A replacement charge (as above) will be added to your account. We will contact you to confirm this. 
  • You will be strongly encouraged to continue looking for the item at home, or in any place where you were in possession of it.

If you subsequently find and return the lost item, all replacement charges will be waived. 

Claims Returned / Never Had

This policy applies to patrons who claim that item(s) on loan to them:

  • Have already been returned 
  • Were never issued to them 

If you notify us that you have returned or never had an item on loan to you, we will immediately check the shelf for the item. 

If the item is found, it will be returned from your account. We will contact you to confirm this. 

If the item is not found:

  • We will search the shelves on three occasions over a three-day period. 
  • You will be strongly encouraged to conduct your own searches at home, or in any place where you were in possession of the item(s).
  • You will be contacted within five working days to inform you of the outcome. 

If the item has not been located after our searches, we will assume that it was lost while on loan. Replacement charges (as above) will be added to your account. 

If you subsequently find and return the lost item, all replacement charges will be waived. 

Damaged Items

This policy applies to patrons who have damaged items currently or recently on loan to them.


 Patrons may be liable to pay a replacement fee for a damaged item if: 

  1. The damage is severe and irreparable
  2. The damage was caused by circumstances within your control 

Severe and irreparable damage will significantly impair reading. Examples include:  

  • Missing pages
  • Significantly damaged front cover 
  • Extensive staining or water damage
  • Extensive and permanent annotation 

Circumstances within your control are those in which damage could have been easily avoided through proper storage and/or care. Examples of circumstances within your control include: 

  • Food and drink spills/staining 
  • Extensive and permanent annotation 
  • Broken spine, ripped pages or cover from misuse/improper storage/rough handling 

If you believe you have damaged an item, please inform the library helpdesk. We will evaluate the extent of the damage and decide whether it is necessary to charge a replacement fee.

If you return a damaged item without informing the library helpdesk, you may be contacted and charged a replacement fee (as above).

"Long Overdue" Items

Replacement fees will be automatically charged when items become 4 weeks overdue.  

If you are unable to attend the library to return your books, the following options are available:  


Payment of Replacement Fees

The library appreciates that the current financial climate is challenging.  Please be assured the following policies are in place to ensure equitable treatment of all patrons: 

  • All charges will be waived upon the return of long overdue or lost items.
  • All patrons have the option to source a replacement copy in "New" or "Very Good" condition instead of paying replacement fees.
  • Fees are fixed per item to ensure equitable penalties for lost and damaged items across all course areas and disciplines. However, total charges may be negotiated with the library if our charge is higher than the item(s) total RRP. 
  • If patrons are unable to pay replacement fees upfront, a payment plan may be arranged in discussion with the library. 
  • If patrons are unable to pay replacement fees and have extenuating circumstances, some or all of the fees may be waived in discussion with the library.
