Library Services Assistant Guide

Managing the Study Skills Inbox

We monitor and action the Study Skills Inbox daily. The purpose of monitoring the Study Skills (SS) emails is to make sure that the students with Reasonable Adjustment are supported, and their study needs are met in the Library.

For that we need to check for:

  • Access to extended library loans (SENDA status) and
  • Support for digitisation of materials

That information is found in OASIS so we need to have or request access to that system.

  • Open OASIS, WMS in Circulation and the study skills Inbox.
  • In the SS Inbox open the email which looks like this:

Dear [Student],

Student Services have informed us you have Reasonable Adjustments. Please read the information below on how Learning Services can help, and how you can book an appointment with us.

How we can help
You can have one-to-one appointments with the Academic Skills Advisors (ASA) who provide specialist tuition and Academic Liaison Librarians (ALL) who also work within Learning Services. Each course has a dedicated ASA and ALL. Your ASA and ALL can help with a variety of support and study skills and, including:

  • Using the Library

  • Accessibility

  • Searching for Information

  • Using eBooks and online resources

  • Academic Skills

  • Time Management

  • Exam Revision

  • IT skills

  • Numeracy

  • Assistive Technology (including tablets, video magnifiers and audio recorders for loan; if you are interested in borrowing any of these items please contact your ASA)

  • Digitized reading materials (If this applies to you please contact your ASA directly to discuss this further)

In addition to one-to-one appointments, you can find help and advice on all the above, and more, on our Academic Skills webpages.

How to book an appointment
You can book an appointment via the online booking system. At the bottom of the page you will find the ASA and ALL listed for your course, we advise that you try to book an appointment with the ASA or ALL associated with your course.

It is important that you read the information on the appointments page carefully, and that you are familiar with the guidance, before you book your appointment.

  • Copy and paste the student number into WMS Circulation to open their account and make sure that their patron type has been changed to SENDA
  • If the status has not been changed to SENDA go to Profile and add a note: "SENDA status from ...(the date of the email)" . That allows us to manually put extended loan dates until SENDA status comes through and WMS automatically issues them.  Leave the email in the inbox to check for SENDA Status until it is updated on the student's library account. If the status has not been amended to SENDA after 2 weeks, contact course administrator.
  • File the email in the Study Skills Reasonable Adjustment subfolder in the relevant month.
  • Go to OASIS and select "Search Students" from the main menu:

  • That will open the Student Search Form
  • In the "Student Code" field enter only the six-digit student number→
  • In the Search Results, click on "HUB".That will open the student's accessibility record→
  • Scroll all the way down and click on the Reasonable Adjustment Form link

  • That will download the Reasonable Adjustment Agreement document
  • In the document look for the Library Services section where SENDA status and support for digitisation materials are recorded

  • Email the Librarian in charge of the relevant school informing them that the student needs support for digitisation and from what date.
