Locker Key Audit

  1. 'Check In' all locker keys on the display board using our self-service kiosks (this will apply security and remove any items from patrons’ accounts).

  1. Re-hang keys onto the board and replace any damaged or worn keyrings, tags, or command hooks.

  1. Any locker keys not on the display board need to be checked on WMS:
  • Go to ‘Circulation’
  • Select ‘Discover items’
  • Change the ‘Data type’ to ‘Temporary items’
  • in the ‘Term(s)’ box type ‘Locker’
  • Select ‘Search’.

4. Check the following:

Is the locker key within the due date and on a patrons account?

Is the item overdue?

  • If yes, mark the spreadsheet as overdue (include the patrons I.D. and the due date).
  • Create a ticket to inform the patron the item is overdue, ask if they wish to renew the locker key and inform them of any charges they may accrue if the key is not renewed or returned.
  • Add the LA ticket number to the spreadsheet and the date you emailed them.
  • If no response from patron with 7 days, add any accrued fines to their WMS account.

Locker key fines*:

  • Overdue fine – 50p per day
  • Replacement key charge - £20

*Note: If the patron returns the key all fines should be removed.

Is the key Missing?

  • Add a staff note to the WMS record
  • Mark as missing on the locker key spreadsheet
  • Missing keys are ordered twice a year, once in September and again in February.

To order a replacement key:

  • Complete a stock request form for a replacement key from Fastkeys.co.uk, you will need to add the key code from the WMS account or use the code engraved onto the spare key.

When the new key/s arrive:

  • Add a new Label, keyring, RFID tag and barcode.
  • Update the barcode on the WMS record and remove any ‘missing’ staff notes.
