Library Services Assistant Guide

Short Term Access Applications 

 

Short term access permits temporary access to the library, for 7 consecutive days per annum. 

All short-term access requests must be submitted via LibAnswers with at least 3 working days’ notice, to allow time for us to process. If a request falls within this time frame, please follow guidance in Short Term Access FAQs section below.  

Before starting, please check the Excel Membership Checklist to confirm they haven’t already reached their allotted allowance. If yes, please follow guidance in Short Term Access FAQs section below.

Patrons must provide contact details, both an email and phone number, for us to proceed with processing.  If there is no way of contacting the patron, we cannot accept this membership. If the patron cannot provide, please see FAQs for guidance

Booking External VisitorsMembership Spreadsheet

  1. Locate and open the new Short Term Access Application Form on LibAnswers
  2. Transfer the ticket to the Membership queue, and tag as Membership
  3. In a seperate tab, open the Membership Spreadsheet quick link above. 
  4. Select the tab for Short Term Access
  5. Start a new line for each application
  6. Complete the table by following the column actions below. Input the date once each step has been completed

Requestor Name Input applicants full name
Days Available to Patron

Input the number of total days left available to the patron this calendar year

If this is the patrons first application, this will be 7

LibAnswer Ticket ID Input the LibAnswers ticket numb /QID
Date Request Received Input the date the application form was submitted
Access Start Date Input the requested access start date
Access End Date Input the access end date
Days Requested This will auto-populate with days between access start date and end date
Request Processed Input the date we started to process this request  ( todays date)
Request Approved

Ensuring that there are no issues, put todays date. 

If there are any issues with the application, please refer to the FAQs below. Once these issues have been addressed, you can proceed. 

ID Card Requested Submit a request for a temporary ID pass via the Booking External Visitors quick link above. Once completed, enter todays date in this column. 
Total Dates Used by Patron This will auto-populate with days between start date and end date 
Notes Populate this field with any notes about this application 

7. Once this spreadsheet has been completed, return to the LibAnswers ticket. 

8. Respond to the LibAnswers ticket with the macro Membership - Short Term Access Confirmed . Amend the macro where necessary

9. Submit Reply as Closed , to send the response and close the ticket. 

Can patrons request short term access for the same day? 

It is important for insurance purpose that all members are processed before accessing the library. Therefore no, we are not able to accommodate same day access to the library.  For Short Term access we require a minimum of 3 working days’ notice.  

 

What if the patron hasn’t given us 3 days’ notice? 

We require a mandatory 3 day notice for short term access requests.  If this has not been adhered too, please contact the patron via LibAnswers to advise the patron their access period will be pushed back by 3 days.  

 

What is the patron requests more than their allotted 7 annual days access? 

Allowance for short term access is a hard limit of 7 days. If a patron has requested more than 7 days access, please contact them via LibAnswers to advise and confirm with them which 7 day period they wish to use their access for. Please also advise on further annual membership options  

 

What if a patron has already used their allotted 7 days annual access? 

Allowance for short term access is a hard limit of 7 days.  If a patron has already used up their annual leave for the year, please contact them via LibAnswers, advise we are unable to approve their request, and advise on alternatively annual membership options.  

 

What happens if a patron cannot provide us with contact details? 

We need to receive a contact email and telephone number from all patrons. If a patron cannot provide either, please contact either the LTLs or LSS to discuss.
