Systems and processes you will need to know

You will need access to WMS and permissions to withdraw items. If you don't have these permissions, please flag to your nearest LTL, LSS, or GTL :)

The fastest and best way to bulk withdraw items is via the Circulation tab following these instructions: How to Withdraw Multiple LHRs.docx. This method will also ensure that if the copy you withdraw is the last copy of that particular title and edition, the title level record will also be deleted instead of haunting the catalogue.

What needs doing

The Librarians will be stickering the collection with small, round, pink stickers on the spines of books that are to go. If you encounter a stickered book in book returns or an end-of-shelf trolley, please flag this to the appropriate Librarian as they may decide to keep the book instead.

After the shelves are stickered, the Librarians will be giving heads ups to the course teams, who will have a certain amount of time to review the stickered selection. Therefore, please don’t remove stickered books off the shelves until a Librarian gives a go ahead for a particular section – it is more helpful for the academics to see the axe list items in the context of the wider collection.

Once you have go-ahead, the stickered books will need to be taken off the shelves, withdrawn on the system, stamped as withdrawn, (optionally de-tagged on the pad), and boxed up. We are collecting the boxes at the curved half-wall in front of the lift as we now have regular collections organised.

Journals and DVDs

When you box DVDs, please write “DVDs” on one of the short ends of the box.

When you box journals, please write “J” on one of the short ends of the box and on the top of the box please write the journal title and years that are in the box.

A Librarian will put a message on Teams that a section is stickered, reviewed, and ready to be withdrawn and boxed. They will also create a task in the LSA planner for you to record progress and tick done once the section is fully boxed. They will also let you know in these messages if there is anything “special” about the section – for example leaving boxes open on the top for course team to take some titles before the boxes are taped up.
